How to make an employee inactive

When an employee ceases working for a business, it’s best not to delete them out of the Hasmate program, in case they:

  • are connected to an accident;
  • are connected to a hazard;
  • return to work for the business at a later date.

Instead, it’s best to make the employee inactive – they are still in the program, but just not as visible.

How to make an employee inactive

To do this, please click on “Employees” in the program menu.

Find the employee that you need to update.  Double click on the employee’s name or click the “Open” button to the right of the employee’s name.

Click the “Edit” button on the right-hand side, on the Employee Details section.

Add a “Employment End Date” by clicking in the field to the right of the name.

Click the “Save” button.

When you now go to “Employees” in the program menu, you’ll only see this employee if the “Active” drop-down is set to “No“.

If you need to reinstate this employee at any point, all you need to do is remove the “Employment End Date” and click “Save“.  This will return the employee to being active.

Note – making an employee inactive also removes any employee-related alerts (e.g. training, PPE, etc.) from Alerts – however, it doesn’t remove the Expiry Date or Next Review Dates from these instances.  If you reinstate that employee at some point, any Alerts related to that employee will appear in Alerts again, e.g. expired training, etc.
